Reliability & Attendance Policy for Simple Recruitment Temporary Workers

Purpose

This policy ensures operational reliability, fairness, and accountability among our temporary workers. Consistent attendance and timely communication are essential to maintaining service standards and team productivity with our clients.

Reliability & Attendance Expectations

All our temporary workers, work on contracts for services, which allows for flexibility, however we politely request the following:

  • Report to scheduled days/shifts on time as per your assignment details provided.
  • Be ready and fit to work at the scheduled start time.
  • Notify Simple Recruitment and/or their supervisor on assignment, where possible at least 1 hour before the shift begins if they are unable to attend.
  • Provide accurate and timely communication regarding delays or absences.

Definitions

Authorised Absence:
An absence approved in advance by Simple Recruitment and/or their supervisor on assignment. Or reported prior to the shift start time with a valid reason.

Unauthorised Absence:
Failure to attend a scheduled shift without prior approval.

No-Notification (No Call / No Show):
Failure to attend a scheduled shift and failure to notify Simple Recruitment and/or their supervisor on assignment, before the shift start time.

Reliability concern:
A formal record of an unauthorised absence with no notification.

Three ‘Reliability concern’ Rule

Simple temporary workers are subject to a three (3) ‘reliability concern’ policy for unauthorised absences with no notification.

First Reliability concern
– documented warning.
– worker is reminded of attendance expectations.
– continued assignment is confirmed

Second Reliability concern
– final written warning.
– review of reliability status.
– possible reduction or reassignment of shifts.

Third Reliability concern
– removal from current assignment
– possible suspension from future shift allocation,
– or review of suitability for future work

As best practice we support an opportunity for our temporary workers to explain and Simple Recruitment can investigate where appropriate, before formal action is taken.

Simple Recruitment Management discretion will be used based on fair consideration rather than fixed automatic outcomes.

5. Reliability concern Timeframe

  • Reliability concerns are active for 90 calendar days from the date issued.
  • If no additional reliability concerns occur within 90 days, previous reliability concerns expire.
  • If a third reliability concern occurs within 90 days of the first reliability concern, termination or removal may occur.

6. Late Arrivals

  • Repeated lateness (e.g., more than 15 minutes without prior notice) may be treated as partial unauthorised absence.
  • Three documented late arrivals within 30 days may equal one reliability concern.

7. Exceptions

Emergencies, illness, transport disruption, disability-related absence, safeguarding issues, pregnancy-related illness, mental health conditions, and other protected circumstances where reasonable adjustments may be required, in accordance with the Equality Act 2010 will not trigger automatic sanctions without review.

8. The right to appeal

Where a decision has been made to log formally log a reliability concern. A Simple temporary worker has the right to request a review of the situation within 5 working days of issue.

Temporary Workers must provide reasonable explanation and/or documentation where appropriate/ applicable.

9. Communication Requirements

Notification must be made via:

  • Direct phone call to Simple Recruitment 01761 235741 – (24 hours, messages can be left outside of hours), or
  • Approved company communication channel (SMS, or email).

Messages sent through unofficial channels or after shift start time may be considered no-notification.

This policy will be reviewed periodically and updated as necessary to reflect legal requirements and organisational needs.
