Description

Our client based in Street are looking for an Experienced Litigation Secretary to join their team on a full-time temporary basis.

 

Key responsibilities:

  • Client Care
  • Deal with and screen calls, taking messages as necessary
  • Ensure that clients are dealt with efficiently and politely and that appropriate legal matters are raised within the department
  • Maintain client confidentiality

 

Diary Coordination:

  • Provide a highly proactive and responsive diary management service; recording key dates in calendars for directions, trials, hearing etc.
  • Set calendar reminds for the week prior to key dates
  • Coordinate travel and accommodation arrangements

 

File Set Up & Management:

  • Separate correspondence, pleadings and financial clips; transfer pleadings clip to separate folder and section
  • Open files in accordance with internal company procedures
  • Demonstrate effective file management, including location/retrieval
  • Adhere to the firm’s policy when dealing with files throughout the course of a transaction and at file closure stage
  • File printed emails in date and time order
  • Save scanned documents to relevant file directory for easy access

 

General:

  • Use digital transcript system Oyez to create letters, emails and documents as directed
  • Type up correspondence or prepare other paperwork
  • Prepare invoices and other statements for the accounts department
  • Support department case load by dealing with file-related queries either face to face or by telephone
  • Undertake photocopying and scanning of documents
  • Assist in general office administration, including holiday cover and overflow typing for the department
  • Manage own work allocation, productivity and quality of work with minimum supervision

 

Other Duties:

  • Adhere to all internal methods, systems, policies and procedures
  • Take responsibility for own training on software or systems used within the company if not already familiar with them
  • Such other duties as required to ensure the smooth running of the company including housekeeping and supporting other members of the administrative team when necessary

ASAP

 

Duration:

Approximately 6 months

 

Hours:

Monday to Friday 09:00-17:00 with 1-hour lunch break (35hrs per week)

 

Parking: Available on site
